Troubleshooting Common Issues
Information Auto-Populates Before I Finish Typing
If resident information appears automatically as you type, this means the person already exists in your system. This happens when:
- The resident previously lived at your property
- The resident is already assigned to a different unit
- The email or phone number is already in the system
Solution:
- Check if the resident is listed under a different unit in your Directory
- If they're moving units, use the "Move Unit" option instead of adding them as new
- If they're a returning resident, reactivate their existing profile rather than creating a duplicate
"There is an Issue" Error When Saving
This error typically occurs due to:
- Duplicate email address: The email is already assigned to another resident
- Invalid email format: Check for typos or missing characters (@, .com, etc.)
- Missing required fields: First name, last name, and email are required
- Special characters: Remove any unusual characters from name fields
Solution:
- Verify the email address is correct and not already in use
- Ensure all required fields are filled in
- Try using a different email address if the issue persists
- Clear your browser cache and try again
Resident Won't Add to the System
If clicking Save doesn't add the resident:
- Check your internet connection
- Refresh the page and try again
- Try using a different web browser (Chrome or Firefox recommended)
- Clear your browser cache and cookies
- Verify you have Community Admin permissions for this property
Moving Out a Resident
Standard Move-Out Process
- Go to Directory in the ButterflyMX OS
- Find the resident you want to move out
- Click the three dots (⋮) next to their name
- Select Move Out
- Confirm the move-out date
- Click Confirm
Resident Won't Delete After Clicking Move Out
If a resident remains in the directory after moving them out, try these solutions:
Solution 1: Check Move-Out Date
- Residents with future move-out dates will remain active until that date
- Set the move-out date to today or earlier for immediate removal
Solution 2: Verify the Action Completed
- Look for a confirmation message after clicking Move Out
- Refresh the page to see if the change took effect
- Check if the resident's status changed to "Moved Out" in their profile
Solution 3: Remove Access Credentials First
- Open the resident's profile
- Remove any assigned fobs, access cards, or PINs
- Then attempt to move them out again
Solution 4: Browser Cache Issue
- Clear your browser cache and cookies
- Log out of the ButterflyMX OS
- Log back in and try the move-out process again

How to Edit Resident Details
- Navigate to Directory
- Click on the resident's name
- Click Edit in the top right
- Update the necessary information
- Click Save
Moving a Resident to a Different Unit
- Open the resident's profile

- Select Move Unit
- Choose the new unit from the dropdown
- Click Confirm
