Context
Vehicle details can be updated in place, and vehicles can be removed when they no longer need access. This article covers both, plus what happens automatically at move out and the one case where editing is not available.
When a resident moves out: nothing to do
Revoking a resident in the ButterflyMX OS automatically removes their vehicle access. There is no separate step and no physical credential to collect.
This also covers their guests. Visitor passes the resident issued are revoked along with their own access, including any passes with a license plate attached. A guest who had vehicle access through that resident will no longer be recognized at the gate.
Edit a resident's vehicle
Use this when a plate was entered incorrectly, a resident kept their plate but changed vehicles, or you need to fill in optional vehicle details.
- From the main menu, go to People Management > People > Tenants.
- Search for or click the tenant to open their profile.
- Open Access Tools. Each authorized vehicle appears with a type of License plate, the plate number and state under Code, when it was last used, and any vehicle details under Label or brand.
- Click the three dot menu to the right of the vehicle and choose Edit.
- Update any of the fields: License plate, State, Make, Model, Color, or Vehicle type. License plate and state are required.
- Click Save.
Changes take effect immediately.
Residents can edit their own vehicles too, if your property allows resident vehicle management. See How to add and manage vehicles in the ButterflyMX app. If that setting is off, residents can view their vehicles but only administrators can change them.
Remove a resident's vehicle
Use this when a vehicle should no longer have access at all, for example a resident who sold a car or no longer parks on site.
- From the main menu, go to People Management > People > Tenants, then open the tenant's profile.
- Open Access Tools.
- Click the three dot menu to the right of the vehicle and choose Delete.
Removal takes effect immediately. If that vehicle returns to the property, it will be logged in Door Releases as a visitor with an unknown name and denied entry.
Visitor pass vehicles cannot be edited
This is the one exception. A vehicle attached to a visitor pass cannot be changed after the pass is created. To correct it, either:
- Remove the visitor from the pass and add them again with the correct vehicle, or
- Create a new pass.
Because an incorrect plate on a pass produces no error and simply fails to open the gate, it is worth double checking the plate and state before saving a visitor pass.
Good to know
- Shared or household vehicles are authorized under one profile. A vehicle used by more than one person in a unit belongs to whichever profile it was added to. Confirm you are editing or removing it from the right resident.
- Past events stay in Door Releases. Editing or removing a vehicle does not change the history of that plate at your property.
