Reference Guide: What Are the ButterflyMX Package Management Solutions?
ButterflyMX has four different ways. We help your staff and residents with deliveries. They are Delivery Pins, Delivery Pass, Video Calling, and Package Room.
The first three come standard with all ButterflyMX Video Intercom systems and are designed to ensure convenient and secure property access to all your delivery carriers. The fourth, our Package Room, is an optional add-on for properties that would like to have a place to securely store deliveries of all sizes until your residents can pick them up.
- Delivery Pins are reusable six-digit codes intended for recurring delivery carriers. Think USPS, FedEx, and UPS—any delivery person who visits your property regularly. The delivery person enters their unique PIN into the ButterflyMX Video Intercom to gain access to your property. Every time a PIN is entered, a time-stamped photo of that delivery person is taken and stored for later review. If at any time you notice someone using a PIN they shouldn't be, you can delete that PIN, and it no longer works. Since Delivery Pins are reusable, they can only be created and managed by administrators of the ButterflyMX system. They cannot be created by residents or non-administrative users. Once the Delivery Pin is created, a property staff member provides it to their delivery person for use.
- Delivery Pass is a single-use six-digit code for one-time delivery carriers. This is great for Uber Eats, DoorDash, or any delivery person that is making a single delivery to your building. Just like Delivery Pins, these codes are entered into the ButterflyMX Video Intercom by the delivery person to gain access to your property. Every time a Delivery Pass is used, a time-stamped picture of that person is taken and stored for later review. Since Delivery Passes are single-use, residents and other non-administrative users can create them. If, however, your building does not want to make this feature available to your residents, you could turn it off from your administrator account. Once a Delivery Pass is created within the ButterflyMX mobile app, a resident shares that Delivery Pass via text, email, or in the delivery instructions of their e-commerce site.
- Video Calling feature allows delivery carriers who don't have a Delivery Pin or Pass to call a building resident or staff member directly to gain access to your property. Delivery carriers simply select the resident or staff member from the directory and click "Call." For residents who have our mobile app downloaded to their smartphone, this starts a video call where the resident sees and hears the delivery driver and then grants them property access. For residents who do not have our mobile app, the call is a normal telephone call where the resident can hear the delivery driver. They then press "9" on their telephone to grant them property access. Since our access control systems are cloud-based, these calls can be received by residents no matter where they are—in their apartment, at the gym, taking a walk, or on vacation—ensuring they never miss a delivery. Just like Delivery Pins and Delivery Passes, when a resident grants access to a delivery person via video call, the ButterflyMX Video Intercom takes a time-stamped photo of that person, which is stored for later review.
- For those of you who would like to have a place for delivery carriers to store their packages once they've entered your property, we offer Package Rooms. Package Rooms are secure spaces within your building, typically near the entrance of the property and often a converted utility closet or other small space, where carriers drop off packages and residents pick them up later. Delivery carriers can access the Package Room by either using the same Delivery Pin or Delivery Pass they use to get into your property, or they can make a video call to a building resident or staff member directly from the Package Room panel installed at the entryway of the room. After a package has been delivered, your residents receive a notification of the delivery so they know it's time to pick it up. Like our video intercom system, every time the Package Room panel grants access, it takes a time-stamped photo of the person entering the room. Our Package Room panel is just like our video intercom system, but with specialized software installed on it to make the delivery, storage, and pickup process quick and easy for your delivery carriers, residents, and property staff.
To demonstrate how our Package Room works, let's go through a quick demo of the user interface.
This is our Package Room user interface. It's what delivery people and residents see when they're trying to access the Package Room at your building.
For Delivery People:
- They press "Delivery" and enter their PIN or press "Search Directory."
- If they have a Delivery Pin or Pass, they enter the six-digit code here.
- Then, they select the resident they are delivering to by searching for the resident's name or unit number.
- Finally, they select the number of packages that the resident is receiving.
- Once they click "Finish Delivery," the Package Room panel will take a time-stamped photo of the delivery person and release the door to the Package Room so they can complete their delivery.
- If the delivery person does not have a Delivery Pin or Pass, they press "Search Directory," and a directory of all the residents will appear. They can either scroll through the directory or search by the resident's name or unit number to find the resident they're delivering a package to. Once they find the resident, they press "Call." This will start a one-way video call with the resident or a phone call if the resident doesn't have a smartphone. The resident can then press the "Open Door" button or "9" on their telephone to release the Package Room door for the delivery person. Our intercom takes a time-stamped photo of the delivery person before releasing the door for them.
- Simultaneously, our Package Room will send an app notification, text message, or email to the resident, letting them know they have a delivery ready for pickup in the Package Room.
For Residents to Pick Up Packages:
- Once it comes time for a resident to pick up their packages, they will press "Resident" on the Package Room's user interface.
- From there, they enter their unit number followed by their door PIN.
- The Package Room panel then takes a time-stamped photo of the resident entering the Package Room and releases the doors. They can retrieve their package.
