Context:
There may be situations where some users need access to ButterflyMX features but should not appear in the intercom system directory. For example, some users may wish to use the ButterflyMX app and their Door Pin to open doors, but do not want to be listed in the directory for privacy reasons.
Use Case Scenario:
You have both Owners and Renters at your property, but only Renters should be visible in the directory. Owners should have full access to ButterflyMX features but remain hidden from the directory.
Setting Up Access Groups for Directory Management
Rename the Default Group:
- By default, there is an Access Group called “default.”
- You can rename this group to “Renters” by clicking on “default” and updating the “Group Name” field.
All users in this group will appear in the intercom directory and can be contacted by visitors.
Create an Access Group for Owners:
- Click the + Add Access Group button on the right side of the Access Management page.
- Enter a name for the new group (e.g., “Owners”).
- Select the devices these users should have access.
If there are no devices listed, you may need to add devices once they are installed. Users in the “Owners” group will have access to the selected devices and all ButterflyMX features, but will not appear in the intercom directory.
After these steps, your Access Groups should look like this:
- Renters: Users in this group appear in the directory and can be called by visitors.
- Owners: Users in this group have access but are hidden from the directory.
Changing or Adding Access Groups for a Specific User
How to Change a User’s Access Group
- Go to the Tenants section.
- Click on the user’s name.
- Select Edit Tenant.
- Scroll to the bottom and update the user’s Access Group as needed.
How to Change Access Groups at the Unit Level
If you want all current and future residents of a unit to be assigned to a specific Access Group, you can set this up at the unit level. Any new user added to that unit will automatically be placed in the designated Access Group.
- Go to the Spaces section.
- Click Edit next to the relevant unit.
- Select the desired Access Group for the unit.
