Context:
In your ButterflyMX-equipped building, your residents can create, issue, and revoke Visitor Passes for their trusted guests such as family members or dog walkers. As a ButterflyMX property admin, you can monitor those active Visitor Passes. This can improve security at your property by allowing you to see who has access to your building at all times. Read this article to learn how to manage Visitor Passes as a property admin.
Prerequisites
- You must have a ButterflyMX installed at your property
- A ButterflyMX admin account is required
How to manage active Visitor Passes:
- Log into the ButterflyMX OS
- First, log into the ButterflyMX OS on a computer.

Click ‘Visitor Passes’

Here, you'll see a list of all active Visitor Passes created by your residents and tenants. For each pass, you'll find the following columns:
Pass Name — The name of the Visitor Pass.
Tenant — The resident or tenant who issued the pass.
Pass Type — The type of Visitor Pass (e.g., recurring or single-use).
Validity — The days and times the pass is valid.
Expires — When the pass expires.
Recipients — The visitor(s) the pass has been issued to.
Created By — Who created the pass?You can remove an active Visitor Pass directly from this view list by selecting the 'Deactivate' option next to the pass.

- Pass Details:
- Tenant — The resident or tenant who issued the pass (e.g., Full Name - Unit number).
Pass Details — The schedule of the pass (examp, Repeats every Mon, Tue, Wed, Thu, Fri — 8:00 AM - 3:00 PM).
Expires — The expiration date and time of the pass (exap, Mar 12, 2027, 3:00 PM). - Access Points and Devices — The access points the visitor can use (e.g., Front Entrance).
- Visitors:
Visitor Name — The name of the visitor the pass was issued to.
Visitor Contact — The visitor's contact information (email or phone number).
PIN — The unique PIN code assigned to the visitor for building access. - Internal Notes — You can add internal notes visible only to admins (not seen by the visitor or resident). Click 'Add Internal Note' to add a note, or 'Cancel' to discard.

- Deactivate Visitor — You can deactivate a visitor's access from this page. When deactivating, you will be prompted to fill in:
Visitor Name
Visitor Contact (email)
Vehicle Information — Whether the visitor can access with a license plate. - Internal Note for this visitor (this will not be seen by the visitor or resident).
- You can also add additional visitors under the same Visitor Pass directly from this page.
This allows multiple visitors to share the same pass with the same access parameters.

If you’re managing a large list of passes, use the search bar at the top of the page to find specific passes quickly
From the 'Active Visitor Access' page, click on the 'Filters' option to expand the filter panel.
Select an Access Type
- Under 'Access Type', choose from the following options to narrow down the passes by type:
All — Show all pass types.
Custom — Show custom Visitor Passes.
One Time — Show single-use Visitor Passes.
Recurring — Show recurring Visitor Passes.
Delivery Pass — Show Delivery Passes.
Delivery Pickup PIN — Show Delivery Pickup PIN passes.
Select a Validity status - Under 'Validity', choose one or more of the following options to filter passes by their current status:
Current — Show passes that are currently active. - Upcoming — Show passes that are scheduled for a future date.

Not Valid — Show passes that are no longer valid
You can select multiple validity statuses at the same time to broaden your search results.
Review your filtered results:- Once your filters are applied, the list will automatically update to show only the passes that match your selected criteria.
- To remove a filter, simply click the '×' next to the applied filter tag to clear it.
