Context
Business Units power the commercial directory on your ButterflyMX video intercom. Unlike the standard residential directory, the commercial directory displays company names with individual employees nested within each company listing. Visitors can search by company name, call a specific employee, or tap "Call Front Desk" to reach the designated company contact.
Note: The Business Units section is only available on commercial or mixed-use properties. If you do not see it in your ButterflyMX OS, please contact our support team to have your property converted.
How to Add a Business Unit
Step 1: Log into the ButterflyMX OS
Log in to your ButterflyMX OS on a computer.
Step 2: Navigate to 'Spaces' > 'Business Units'
From the left-hand menu, click on Spaces, then select Business Units. This page displays all existing business units at your property. Any business unit without an assigned front desk contact will be highlighted in red as a reminder to complete the setup.
Step 3: Click '+ New Business Unit'
In the top right-hand corner of the page, click + New Business Unit. The New Business Unit form will open.
Step 4: Fill in the Business Unit Details
You will see the following fields:

| Business Name | The name of the company or office (e.g., "Acme Corp", "Suite 300 Law Office"). This is what visitors will see on the intercom directory. |
| Office Suite | The suite or unit number for this business (e.g., "Suite 300", "Unit 4B"). |
| Floor | The floor number on which the business is located. |
| Zone | Select the intercom zone this business unit should be associated with. If your property only has one intercom, leave it set to Default. |
| Front Desk | Assign the person who will receive calls when a visitor taps "Call Front Desk" on the intercom. This is a required field for the business to appear in the commercial directory. See the note below for important details. |
Important – Front Desk Contact:
- The Front Desk person is the primary point of contact for the company on the intercom. They are not the same as a Front Desk Station attendant.
- Only one user can be designated as the Front Desk contact per business unit.
- Once a Front Desk contact has been assigned, they cannot be unassigned — only replaced.
- A business unit can be saved without a Front Desk contact initially, but one must be assigned before the business unit will appear in the commercial directory on the intercom.
Optional Fields

| Company Logo | Upload a logo to display on the intercom for this business. Best dimensions are a square format (equal width and height). Recommended size: under 1000 x 1000 px. Maximum allowed: 5000 x 5000 px. |
| Office Hours | Enter the business's office hours (e.g., "Mon–Fri, 9am–5pm"). Note: this is informational only and is displayed on the intercom for visitors. It does not automatically restrict or schedule access. |
| Display Text | Add custom instructions or directions for visitors (e.g., "Please call the front desk upon arrival. Suite is located on the 3rd floor, turn left at the elevator."). This text is shown on the intercom. |
Step 5: Save the Business Unit
Once all required fields are filled in, click Save to create the business unit. It will now appear in the Business Units list in the ButterflyMX OS.
Step 6: Add Employees to the Business Unit
After saving, add the employees who belong to this business unit. Employees will appear in the employee directory under the company's listing on the intercom. Visitors can call individual employees directly.
You have two options for adding employees:
- Manually – Add individual tenants one at a time directly in the ButterflyMX OS.
- Google Workspace Integration – Sync your employee information automatically using the Google Workspace integration.
- Bulk Import – Use the CSV import feature by navigating to Imports in the left sidebar and selecting the Business Units import type.
- Edit option to update any details of an existing Business Unit & Delete option to permanently remove it from the directory.
Tips & Reminders
- 🔴 Any business unit without a Front Desk contact assigned will be shown in red on the Business Units page — make sure all business units have one assigned.
- The commercial directory coexists alongside the standard residential directory on the same intercom — no separate hardware is needed.
- If you need to disable calling for employees listed under a business unit (e.g., for an employee directory that is view-only), create a new Access Group with calling disabled and assign those employees to it.
